Purpose

Executive Administrative Assistant ensures the efficient day-to-day operation of the national organization, and supports the work of management, projects and board members. The Executive Administrative Assistant will work under the supervision of the Board, Executive Directors and the Project Coordinators.

Position Type

Contact Position for 10 -15 hours per week based in Toronto area, Ontario.

Duties and responsibilities

Executive Administrative Assistant perform a wide range of duties including some or all of the following:

Office administration and support

  • Use computer word processing, spreadsheet and database software to prepare reports, memos and documents
  • Prepare and send outgoing mail and courier parcels
  • Forward incoming general emails to the appropriate staff and board members and archive them
  • Update and ensure the accuracy of the organization’s databases
  • Provide administrative support to Board, Executive Directors and Project Coordinators.
  • Assist with distribution of materials and maintenance of CCMW’s storage unit

Marketing

  • Manage the production of marketing materials, including leaflets, posters, business cards and flyers
  • Arrange for the effective distribution of marketing materials
  • Write and distribute press releases
  • Evaluate marketing campaigns and programs

Communications

  • Create and implement the monthly e-newsletters
  • Plan and execute the organization’s social media plan to promote programs, events, projects, chapter updates and drive member recruitment
  • Implement and ensure strategic update and usage of news on social media platforms
  • Maintain detailed member database
  • Respond to chapter queries

Event management

  • Develop and maintain event and volunteer databases
  • Manage all aspects of volunteer coordination
  • Coordinate event logistics, publicity, including public relations, advertising, collateral material design, production and distribution
  • Cultivate and expand sponsorship development and fulfillment

Qualifications

  • Graduation from a 4 year college or university required
  • Work experience with a not-for-profit organization preferred
  • Minimum of 3 years demonstrated experience in office administration
  • Excellent computer skills in word processing, database management, webpage posting and electronic communication software
  • Ability to use platforms such as Mailchimp, WordPress, Buffer, Canva, Facebook, LinkedIn, Twitter, Instagram and Google Plus and report on return on investment
  • Have some graphic design capabilities
  • Experience in networking and working with diverse populations
  • Excellent written and verbal communication skills in English and including report writing and marketing materials
  • Excellent interpersonal, time management, problem solving and organizational skills
  • Excellent ability to organize. Manage multiple tasks and prioritize
  • Ability to work independently and as a team player
  • Strong volunteer coordination skills
  • Posses tact, discipline and attention to detail

Working Conditions

  • Required to have a home office
  • Access to a laptop and mobiles at all times
  • May be required to work some overtime hours such as attending Board meetings
